The Jhpiego Indonesia program is aimed to improve maternal and newborn health outcomes in Indonesia. We are currently implementing EMAS ( Expanding Maternal & Neonatal Survival ) program in Indonesia funded by USAID.
In order to reach our goals, we are now recruiting a local based position of Administrative Assistant / Receptionist for Medan Office, North Sumatera . Work based : Medan office, North Sumatera
Department: Finance & Administration
Position Reports To: Finance Administrative Officer
Positions Supervised: None

Overview:

The Administrative Assistant will perform a range of administrative tasks and also acting as a Receptionist within the office, including answering phones, managing schedules, assisting with travel arrangements, general office support and work flow, and linked as an admin support for some activities or event once needed.

Major Duties and Responsibilities:

Answer telephone, take and relay messages
Managing and distributing general documentation and correspondence
General administrative and clerical support
Schedule appointments, maintain appointment diary either manually or electronically, (as a meeting organizer) as requested.
Assist other staffs and Consultants in administration area .
Together with Driver to manage regular mails and packages delivery
Maintain corporate rate for hotels, car rentals, and other vendors related to the office purposed ( Stationaries, Printing etc. )
Together with PC, assisting for the logistics and preparation of special events, staff meeting, including agenda preparation, materials and scheduling of conf. rooms.
Maintaining general office filling, photocopying, and faxing.
Operate a range of office machines such as photocopiers, computers, scanner and faxes.
Managing office equipment use by the staff ( Telkomflash, LCD, Digital Camera, Tape Recorder etc.)
Manage Jhpiego operational vehicles traffic and review drivers log sheet
Working closely with FAO in order to maintain office supplies and stationaries are available as needed.
Tidy and maintain the reception area

Knowledge, Skills, and Abilities:


Graduate from secretarial or business studies
Minimum 2 years experience in office administration
Knowledge of administrative and clerical procedures
Able to work methodically, accurately and neatly
Good oral and written communication skills
Proficient in Microsoft Office Applications
Highly meticulous with excellent interpersonal, communication and organizational skills
Able to work in a fast-paced environment
Able to work as part of a team
