HR/ADMIN ASSISTANT (1 position)

Location : Jakarta
Start date : 1 October 2011
Duration of contract : 3 months (with probability of extension)
Objective 1
: Assist HR Manager in expatriate management
- Check the validity of expatriates visa and ensure the renewal on time; and follow up with immigration office
- Ensure the completeness of expat personal files at the first arrival (return ticket, copy of passport & visa, Secure envelope, etc.) and before left the mission (return form, RTT, Security envelope)
- Assist in the process of child allowance and break management
- Support in the administrative activities of expatriate management (i.e. recruitment, contract)
- Support HR Manager in preparation of cost of living and per diem voucher.
Objective 2
: Assist HR Manager in HR administrative duties
- Ensure the completion of HR documents (staff files, training files, insurance files, payroll files, HR legal documents, PR)
- Copy the documents as needed
- Process payment to Jamsostek office
- Support in HR activities (i.e. arrange interview with candidates)

3 : Assist Admin Coordinator in filling management due to donor audit, in
coordinate with Admin Assistant
- Ensure the completion of ACF double filling system filling by books and filling by donors) by respecting the criteria of good quality of invoices and finalizing the missing invoices issue, split invoices issue, incorrect invoices and OD (re-allocation) invoices.
- Issued the ‘Risk table’ report as a result of completion the double filling before send the invoices to headquarter or donor.
Objective
4 : Assist Admin Coordinator in Finance administrative duties
- Book ticket of transportation of ACF staffs due to travel request.
- Support in Admin on ‘donor filling’ in coordinate with assistant of Head of Mission and ‘contract filling’ in
coordinate with Admin Assistant.
Degree / Level of studies : Economic with human resources
experiences Required skills: Computer knowledge – Rigorous – Patient – Dynamic – Initiative – Good organizer – Professionalism – Sense of organization – Interpersonal skills – Sense of confidentiality – English
